Vendor Lifecycle
Vendors progress through a defined lifecycle managed entirely by admin actions:
A vendor submits their registration application through the vendor panel. Status: pending.
A super admin reviews the application, business documents, and tax information. The admin can request additional information.
The admin approves the application. Status changes to active. The vendor can now list products and receive orders.
The admin monitors vendor performance through the dashboard and vendor detail page. Performance scores are calculated automatically.
If a vendor violates platform policies, the admin can suspend (temporary) or ban (permanent) the vendor.
Lifecycle Actions
| Action | From Status | To Status | Effect |
|---|---|---|---|
| Approve | Pending | Active | Vendor can list products and receive orders |
| Reject | Pending | Rejected | Application denied; vendor is notified with reason |
| Suspend | Active | Suspended | All products hidden; existing orders continue; no new orders |
| Reactivate | Suspended | Active | Products restored; vendor can receive orders again |
| Ban | Any | Banned | Permanent removal; all products delisted; account locked |
Banning a vendor is irreversible from the admin panel. Ensure all outstanding orders and payouts are resolved before banning.
Vendor Plans
Vendor plans define the subscription tiers available to sellers. Manage plans from the Vendor Plans section.
Plan Properties
| Property | Description |
|---|---|
| Plan Name | Display name (e.g., "Starter", "Professional", "Enterprise") |
| Monthly Price | Subscription fee in EUR |
| Product Limit | Maximum number of active product listings |
| Commission Rate | Platform commission percentage for this plan |
| Featured | Whether this plan is highlighted in the vendor signup flow |
| Active | Whether this plan is available for new subscriptions |
| Features | List of included features (analytics access, priority support, etc.) |
Plan Management
Create Plan
Define a new vendor plan with pricing, limits, and features. Plans are not visible to vendors until marked as active.
Edit Plan
Modify plan details. Changes apply to new subscriptions immediately. Existing subscribers are not affected until renewal.
Toggle Featured
Mark a plan as "featured" to highlight it in the vendor registration flow. Only one plan can be featured at a time.
Deactivate Plan
Remove a plan from the vendor signup options. Existing subscribers remain on the plan until they switch or cancel.
Vendor Subscriptions
Track all active vendor subscriptions across the platform:
- View which plan each vendor is subscribed to
- See subscription start dates, renewal dates, and billing history
- Monitor plan distribution (how many vendors on each plan)
- Handle subscription upgrades, downgrades, and cancellations
Performance Scoring
Each vendor receives a composite performance score (0-100) calculated from:
| Factor | Weight | Measurement |
|---|---|---|
| Order fulfillment rate | 25% | Percentage of orders shipped on time |
| Return rate | 20% | Percentage of orders returned (lower is better) |
| Customer rating | 20% | Average review score (1-5 stars) |
| Response time | 15% | Average time to respond to customer inquiries |
| Dispute rate | 10% | Percentage of orders with disputes (lower is better) |
| Product quality | 10% | Ratio of approved vs. rejected product submissions |
Vendors with a performance score below 40 are flagged automatically on the dashboard alerts. Scores below 20 trigger a recommendation to suspend the vendor for review.
